# The Overview dashboard

`Cashback Tracker` → `Overview`. One screen, read top to bottom: what you owe, what you keep, what happened, and whether the machinery producing all three is still running.

### The four figures

| Card                       | What it is                                                                                                         |
| -------------------------- | ------------------------------------------------------------------------------------------------------------------ |
| **Owed to members**        | Cashback members can withdraw right now, with what is still pending underneath it. This is a liability, not income |
| **Your margin this month** | Commission earned minus cashback recorded, for this calendar month, with the percentage you keep                   |
| **Confirmed this month**   | Cashback that became available this month, against last month                                                      |
| **Members earning**        | How many members hold a balance, with your order count                                                             |

Only the two monthly figures carry a comparison against last month. *Owed to members* is a balance at this instant — there is no previous version of it to be up or down against.

### How margin is worked out

Over orders **created this month whose status is now approved**:

* **Commission** comes from what the network reported per order. Networks report in their own currency, so each currency is converted separately and then added — never summed together first.
* **Cashback** is what those same orders credited to members, already in your site currency.
* **Margin** is one minus the other. **Kept** is margin as a percentage of commission.

Two consequences worth knowing:

**A missing exchange rate excludes that currency rather than guessing.** If the card says *no exchange rate for SEK — excluded*, your real margin is higher than the figure shown. Counting an unconverted amount at 1:1 would inflate the number and look entirely plausible, which is worse than a figure that tells you what it left out.

**Margin can go negative, and the card will show it.** A site paying out more than it earns needs to see that; it usually means a rate is set above what a network actually pays.

An order that earned commission with no member attached — a click that carried no tracking id — contributes commission and no cashback, so it reads as 100% kept. That is correct. You earned it and owe nobody for it.

### The chart

Cashback recorded per day for the last 30 days. A day with nothing in it draws a flat grey line rather than disappearing, so a quiet week looks like a quiet week instead of compressing into a busy one. Hover any column for its date, total and entry count.

### Top shops

Your five best-earning shops with orders, cashback and margin.

The margin column is the one to read. A shop generating the most cashback is not necessarily the one making you the most money — a generous rate on a low-commission network can rank first here and last on the column that matters.

A dash in the margin column means the network reported no commission for that shop, which is unknown rather than zero.

### Recent activity

The last ten ledger movements across the whole site, naming the member. Cashback, payouts, bonuses and your own adjustments all appear here in the order they happened.

### Needs attention

**This section is absent when nothing is wrong**, which is the point of it. A panel that is permanently present and permanently green is one you stop reading, and it has to catch your eye on the morning it is not green.

A single failed run is never raised. Networks time out, rate-limit and return a 502 for one night all the time; a list that flagged every one of those would be a list you learn to ignore. Two consecutive failures is a real problem.

These are the same conditions [the summary email](/running-your-site/admin-digest.md) reports, read from the same source — the two cannot tell you different things about your site.

### Referrals

Present only once your site has referred somebody. Bonuses paid this month, referred signups, and what share of every relationship on the site belongs to its single busiest referrer.

**Referral bonuses are not part of the margin card above.** Margin is commission minus cashback, and a bonus is neither — so on a site running a referral programme, margin is higher than what you actually keep by the whole of what the programme pays out. That is why this line names the spend directly.

The concentration figure is reported rather than alarmed on. One member introducing half of a young site is completely normal, and a warning that fired there would be switched off long before the site was big enough for it to mean anything. It keeps rendering after referrals are switched off: the relationships and the money already paid do not disappear with the toggle, and an operator who has just turned it off is exactly who wants to see what it cost.

### Networks

Every configured network with the state of its order download and shop sync, and the last error if there was one.

It overlaps *Needs attention* during a failure deliberately. The alert tells you to act; this tells you how widely the problem spreads. When all is well the alerts are gone and this is a wall of **OK**, which is the reassurance you opened the page for.

The sandbox appears here only while the sandbox menu does.

### The footer line

Site currency, when exchange rates were last fetched, and any postbacks rejected in the last 24 hours.

### What to watch, and how often

**Daily, if anything:** Needs attention. Nothing else on the page needs you every day.

**Weekly:** margin and the kept percentage. A drop usually means a rate you raised, or a network revising commissions downward.

**Monthly:** confirmed against last month, and the top shops' margin column — that is the conversation to have with a network manager.

### What this page cannot show you

There is no click tracking in Cashback Tracker, so there is no click count, no click-to-order conversion rate and no funnel. Every hosted affiliate dashboard shows those; this one would have to invent them.
